A day in the platform, start to finish

Built around the moments that actually go wrong.

We watched real NDIS work break down — missed deadlines, blank screens in the field, bounced claims — and fixed each one on screen. Here's exactly what happens when you use Tendaroo, one step at a time.

01 Compliance you can't miss

The deadline runs itself.

"A reportable incident lands on the worst day of my week — and it's on me to remember there's a 24-hour clock ticking. Miss it and it's not a bad UX day, it's my registration."

The moment care starts, your dashboard becomes a single action band — every statutory clock live and counting down. A reportable incident arms a 24-hour and 5-business-day countdown that shifts teal → amber → red as it runs. Rejected claims, expiring worker screening and overdue reports all surface in the same place, ranked by what will hurt you first.

  1. 1Intake once. A participant's plan, dates and NDIS number are captured against a checklist — you can't publish a shift into an empty budget later because the funding is known from day one.
  2. 2The clock arms itself. Mark an incident reportable and the countdown starts automatically from the moment you became aware — no manual radio button, no missed notification.
  3. 3Nothing hides. "Needs action now" ranks the four things that could cost you money or registration this week, each with a one-click way in.

02 See the funds before you roster

Roster against the budget, not against a guess.

"I only find out I've over-serviced a plan when the money's already gone on wages."

Every shift shows the remaining funds it draws from, right on the roster — a green, amber or red strip per support category that decrements as you add hours. Publish a shift that would tip a plan into the red and Tendaroo warns you before it's booked, not after the pay run.

  1. 1Add the hours. The Core / Capacity Building / Capital chips update live — "12h / $540 left" — so the decision is informed at the moment you make it.
  2. 2The strip changes colour. Green while there's room, amber as it tightens, red before you over-service — the whole week readable at a glance.
  3. 3Publish with confidence. No shift silently moves $0.00 against the wrong category and blows the plan three weeks later.

03 Get paid the first time

Every claim is checked before it leaves.

"I export the claim file and days later the whole batch bounces over one malformed field, with no explanation."

Before a single line is lodged, Tendaroo validates it — identity, NDIS number shape, item validity, units, duplicates, the plan window, the price cap and the remaining budget. Fix the flagged lines, download a file that matches the PACE format byte-for-byte, and when the NDIA remittance comes back it imports and paints each line paid, part-paid or rejected.

  1. 1Pre-flight check. Blocking errors stop the file; warnings flag the risky lines — all before download, in plain English tied to the exact claim.
  2. 2Lodge clean. The export is pinned to the PACE spec, so a batch doesn't bounce on formatting.
  3. 3Reconcile automatically. The rejection inbox groups bounced lines by reason so you requeue or write off in minutes — no spreadsheet, no guessing where the money went.

04 Care that works anywhere

When the signal drops, the work doesn't.

"Out in the community there's no signal, and the app just goes blank. No plan, no meds, can't clock in, can't write a note — and nothing tells them why."

Tendaroo's field app keeps the plan, medications and shift on the device. In a dead spot your workers still clock in, write the note, capture a signature and file an incident — offline. A calm banner always shows the connection state and exactly how many items are waiting, so nothing ever silently vanishes. The moment signal returns, it all syncs in order.

  • Honest offline banner. "You're offline — 3 items waiting to sync," never a blank screen indistinguishable from having no shifts.
  • Incidents captured off-grid. The statutory clock anchors to the worker's occurred-at time, even filed with no signal.
  • Ordered, lossless sync. Every captured item replays on reconnect; anything unappliable becomes a visible exception, never a silent loss.

05 Ready for the audit, not just the demo

Pull any answer in one export.

"An auditor asks for a date range and I'm stitching together weekly exports by hand for a whole year."

Because every action is recorded as it happens — signatures with signer, time and device; incidents with their deadline and reported-on dates; each form's full version history — the evidence is already assembled. Choose any date range and generate one audit-grade pack, not fifty-two weekly ones.

  1. 1Pick the range. Any dates, any module — incidents, claims, complaints, worker screening — from one reporting screen.
  2. 2Export the pack. Deadline / reported-on / days-late columns already populated, ready to hand over.
  3. 3Trust the trail. The record is append-only and hash-chained — an auditor's question has a one-click, tamper-evident answer.
